A Groupboss alternative, compared honestly

Groupboss has the friendliest entry price in the category and a long list of email platform integrations. Here is where those strengths hold, and where the 20-group cap and the annual billing start to matter.

Updated 5 minute read

The short version

  • Roughly $79 to $189 a year, billed annually. No monthly entry and no lifetime option.
  • Plans cap at 20 groups, which is more than most admins will ever need.
  • The integration list with email platforms is longer than ours.
  • Your browser very likely has to be open to Facebook while it works, though Groupboss do not state it and we have not confirmed it.
  • At the entry tier, three years of Groupboss and one KeepAnswers licence are close on price.

What Groupboss gets right

The entry price is the headline. An admin running one group who wants membership answers captured and pushed into an email platform can be running for well under a hundred dollars a year, and annual billing means one decision a year rather than twelve line items on a card statement.

What Groupboss does well

  • A genuinely low entry price for a single-group admin
  • Annual billing, so it is one decision rather than a monthly drip
  • A long list of direct integrations with mainstream email platforms
  • Years in the market and a documented setup process
  • Up to 20 groups on the higher tiers

What you take on

  • The cost repeats every year, with no lifetime option to end it
  • Group coverage is capped at 20
  • Your browser very likely must be open to Facebook while it captures (unconfirmed)
  • Multi-group activity is your problem to pace

The annual-only question

No lifetime option is a straightforward business decision on their part, and it has a straightforward consequence for you: there is no year in which this stops costing money. That is fine when the tool is delivering. It is irritating in the year you barely touch the group and the renewal lands anyway.

Where price stops being an argument

Three years of the Groupboss entry tier is $237 against $197 for a KeepAnswers licence. A $40 difference over three years is noise. If you are choosing between those two specific options, decide on how the tool runs rather than what it costs, because the cost is effectively the same.

Prices read from the vendor’s own site on August 12, 2026. They change, and the vendor’s page is the authority, not this one.

The 20-group cap in practice

Very few admins run 20 Facebook groups, so for the majority this is a non-issue. It matters in exactly one situation: you build groups as a business, you have a portfolio, and the ceiling is a real number rather than a theoretical one. KeepAnswers does not cap groups, and that is a small distinction that only counts for a small number of people. We would rather describe it accurately than dress it up.

Being straight about the integrations

If your list lives in a specific email platform and you want the contact created there directly, with tags, at the moment the answer lands, Groupboss covers more of those platforms than we do. KeepAnswers writes the row to your Google Sheet and sends the lead magnet itself, which handles the common case without a connector, and an automation service can carry the row onward. That is a workable route, not an identical one, and it is worth checking against your own stack before switching.

What KeepAnswers is for

One thing, mainly. The capture and the approvals keep running when your computer is off, on a schedule with quiet hours, and the spacing between groups is handled rather than delegated back to you. Everything else in this comparison is close. That part is not.

Pick Groupboss if

  • You want the lowest possible first-year cost for a single group.
  • Your email platform is on their direct integration list and you want the contact created there.
  • You prefer a vendor with years of trading history behind it.
  • Your machine is on with Facebook open through the working day anyway.

Pick KeepAnswers if

  • You would rather the capture happened whether or not your laptop is open.
  • You run more than 20 groups, or intend to.
  • You want the total cost to be one number.
  • A Google Sheet is a fine destination for your leads.

Next step

The comparison table puts every tool on the same rows, and the pricing page states what the licence covers. If the sheet side is what you are unsure about, the Google Sheets guide has the column layout and the failure modes.

Questions people ask

What does Groupboss cost?
Published pricing runs from about $79 to $189 a year, billed annually. There is no monthly option at the entry point and no lifetime licence, so the cost repeats every year for as long as you use it.
How many groups does Groupboss cover?
The plans cap out at 20 groups. For the large majority of admins that is not a real ceiling. If you manage a portfolio of groups it is worth checking against your actual number before you buy the top tier.
Does Groupboss need my browser open?
We have not found Groupboss stating this either way, so we are not going to print it as a checked fact. The membership answers only exist on a rendered page inside a logged-in session, so a tool that reads them from a browser tab normally needs the tab to be there, and Group Leads' documentation says so plainly about theirs. Ask Groupboss directly if that is your deciding factor.
Is KeepAnswers cheaper than Groupboss?
It depends on the tier and how long you stay. At the $189 tier, three years of Groupboss is $567 against $197 once. At the $79 entry tier, three years is $237, which is close enough to $197 that price should not be the reason you choose either one.
What does Groupboss have that KeepAnswers does not?
A longer list of direct integrations with email marketing platforms, and years in the market. KeepAnswers writes to your Google Sheet first and sends the lead magnet itself, which covers the common case without a connector, but it is not the same as a native integration with your specific platform.
